HOA Committees:

The work of our HOA committees covers many areas of interest and utilizes the expertise of the committee members and chairs.  Unless you are directly involved in committee work for our IronOaks HOA, you may not be aware of the scope of work undertaken by our committees.  The following is a list of items our committees are currently addressing.  This is a flexible list as items are completed and new projects identified on an ongoing basis. 

One purpose of this list is to encourage interaction among committees as many projects involve more than one committee; Properties projects also may involve the Image, Energy Conservation and Risk Management Committees.  This list is directed to all homeowners to increase their knowledge of the work of our committees and to encourage participation in HOA committee work. 

I invite you to seek membership on a committee that is working on items that relate to your knowledge, life experiences and expertise.  Please see the section on our web site that relates information about committee charters, committee members and chairs.  Committee membership is a great way to stay active and meet your fellow homeowners.

Projects Being Addressed by Committees as of May 1, 2011

ALC: Synchronize ALC Guidelines with CC&R changes, address line-of-sight violations.

CC&R Revision: Developing timeline and budget plans for preparation of an updated CC&R document and a program for presentation to homeowners prior to a vote, currently working on an overview of the entire CC&R document to identify areas targeted for changes and updates.  Have solicited input from all committees and will do so again when a draft of the new CC&R document is ready for review.

Communications: Investigating additional staff support for communications functions.  Sponsor the new homeowner welcoming program, including delivery of a packet of HOA materials to each new homeowner, and organization of two social gatherings for newcomers each year.  Improve web page, SITL and the monthly SITL newsletters.  Focusing on improvements in the processes and product developing systems to gather information for inclusion and developing guidelines for what gets posted on the website and SITL.  Develop and implement homeowner surveys, organization of HOA official paperwork, development of a system of archives including guidelines and policies to assure that official records are complete and appropriately documented.

ECC: Presentation of seminars on energy subjects, development of solar systems for the Fitness Center pool and tube lighting for the building, golf course xeriscaping, recycling, potential future energy and conservation projects, and 2012 budget requests. 

Finance: Accounting for $1,200,000 reserve expenditures, golf course reserve study, Capital Improvement Fund, collection policy and 2012 HOA Budget.

Fitness: Locker room ventilation, equipment replacement and layout, future membership space needs and 2012 membership fees.

Food and Beverage: Poolside hours and gratuity policy. 

Golf: HOA rules concerning golf courses, golf course signage and aesthetics, 2012 pricing, five-year golf plan, golf course tree replacement policy and coordinating business plan with Food and Beverage.

Human Resource: Revisions to the Employee Handbook, master staffing plan and committee charter revision.

Image: Continually evaluates, recommends and helps implement image projects through task groups, marketing materials, visuals and signs, building interiors and exteriors, entries, walking paths and other common areas, short and long range planning.  Currently distributing IronOaks brochures and developing graphic needs for building and amenity coordinated appearances.

Master Planning: Core purpose and core values statements.

Properties: Road maintenance, lake maintenance including aeration, pump maintenance, tennis courts resurfacing, repair or replace Oakwood Ballroom air walls, Ironwood Clubhouse dishwasher, golf course restroom refurbishment and painting of light poles and transformers.

Racquet: Tennis and pickle ball court resurfacing, temporary pickle ball court availability during resurfacing and dues structure. 

Risk Management: Protection and safety of our HOA and all work areas, development of self-surveys of work areas and facilities, traffic controls including stop lines and speed limits, North Dobson Gate curb extension, parking lot striping, review of street configuration and striping on Oakwood Lakes Blvd, review of employee benefit brokers and their services, and speed limit around the Ironwood Clubhouse. 

Rules and Regulations: Policy on outside vendors and unwanted solicitations, HOA golf course rules, amending committee charter to reflect all responsibilities, Association fee waivers, 2012 budget input and impact of CC&Rs update on Rules.

Unit Captains: Recruitment of new Unit Captains, ongoing communications with homeowners by units to achieve e-mail or personal contact with all homes in each unit.
